How to Manage Pipelines

Every Recruitment or Assignment that has been created in Martide will have a Pipeline.

  • A Pipeline is made up of stages that tell you what to do next in the recruitment / hiring process.

  • A Pipeline can have as many or as few stages as needed.

Here we’re going to explain what you need to do at each stage of a Pipeline if you have been assigned as a User.

Note that when you have completed a stage, you will then need to Approve it so that the seafarer moves to the next stage, Reject the seafarer, or Transfer the stage to a different Assignment. You cannot transfer Recruitment Pipeline stages. To read more about transferring Assignment Pipeline stages, see this page.

Approval

What this stage means

Approving this stage means you have approved a seafarer to move forward in the process.

What you need to do

  • Click the Approve button to move the seafarer to the next stage.

Assessments

What this stage means

Approving this stage means that any Assessments have been completed and passed as per your required score.

What you need to do

  • Select the Assessment type from the drop-down menu.

  • Toggle the No Failed Questions button across if the seafarer answered all the Assessment questions correctly. Leave it as grey if they failed any questions.

  • Enter their test score.

  • Upload the test results and any failed results and click Save.

  • Approve, Reject or Transfer the seafarer/stage.

Awaiting

What this stage means

This is a default stage which will always be included in a Recruitment Pipeline, however you can edit it. Approving this stage moves a seafarer from pending status and into the hiring process.

What you need to do

  • Click the Approve button to move the seafarer to the next stage to begin the process.

  • Click the Reject button if you do not want to proceed with their application.

Contract Sign

What this stage means

This is a default stage which will always be included in an Assignment Pipeline, however you can edit it. Approving this stage means that the candidate has signed their contract with you.

What you need to do

  • Check that all salary and contract length details are correct.

  • Select the relevant Crew Change Trip from the drop-down menu.

  • Select the relevant Wage Scale from the drop-down menu.

  • Upload a copy of the signed contract and click Save.

  • Approve, Reject or Transfer the seafarer/stage.

Document Validation

What this stage means

Approving this stage means that the seafarer documents that are required in the Data Template for a position have been checked and approved.

What you need to do

  • Check that the documents that have been uploaded are correct.

  • Upload any missing documents.

  • Click Save when you’re finished and Approve, Reject or Transfer the seafarer/stage.

Form

What this stage means

Approving this stage means that any Forms related to the position have been completed.

What you need to do

  • Enter your responses to the questions asked in the Form and click Save.

  • Approve, Reject or Transfer the seafarer/stage.

Hired

What this stage means

This is a default stage which will always be included in an Assignment Pipeline. Approving this stage states that the candidate has been hired for your Assignment.

What you can do

  • Click the button to return to the Assignments page.

  • Click the button to go to the Crew Change page.

Medical Check

What this stage means

Approving this stage means that medical checks have been completed.

What you need to do

  • Check that the documents that have been uploaded are correct.

  • Upload any missing documents.

  • Click Save and Approve, Reject or Transfer the seafarer/stage.

Negotiation

What this stage means

This is a default stage which will always be included in a Pipeline, however you can edit or delete it. Approving this stage means that negotiations with the seafarer are complete.

What you need to do

  • Enter the salary you have agreed with the seafarer and the currency.

  • Enter the contract length and variance.

  • Click Confirm when all information has been entered.

  • Approve, Reject or Transfer the seafarer/stage.

Personal Information

What this stage means

Approving this stage means that all the seafarer’s personal information as required in the Data Template has been filled out.

What you need to do

  • Check that you have all the required personal information from the seafarer. You will see a message that will tell you if anything is missing.

  • Edit the information if needed by clicking the pen icon in the relevant section.

  • Click Save and Approve or Reject the seafarer/stage.

Recruited

What this stage means

This is a default stage which will always be included in a Recruitment Pipeline. Approving this stage means that the candidate has been added to your seafarer database for potential future hiring.

What you can do

  • Click the button to return to the Recruitments page.

  • Approve or Reject the seafarer/stage.

Sea Service Check

What this stage means

Approving this stage means that the seafarer’s Sea Service check has been completed. This takes the last 3 work history entries to display in the Assignment or Recruitment - without any "work history" the pipeline will be empty.

What you need to do

  • Enter any relevant information or a comment in the box below each work history entry and click Save.

  • Approve, Reject or Transfer the seafarer/stage.

Visas

What this stage means

Approving this stage means that the seafarer holds the correct travel visas as specified in the Data Template.

What you need to do

  • Enter the visa number, country, and start and end dates, and select the visa type.

  • Upload a copy of the seafarer’s visa or visas.

  • Click Save and Approve, Reject or Transfer the seafarer/stage.
