How to Scan a Seafarer's CV and Documents

A guide to scanning your seafarers' CVs and documents using our AI data extraction feature for quicker profile updates.

The Scan Documents and Scan CV functions on a seafarer profile page let you scan their documents and CV to quickly and easily add them to the profile. Here's how to use the function.

Scanning Seafarer Documents

To scan a document, go to the main Seafarers page and click on a seafarer's name to go to their profile. You will see a Scan Documents button at the top:

Drag and drop or click the Browse File button to upload the documents you want to scan from your computer.

The document must be one of the following formats: PDF, PNG, JPG, JPEG, DOC, or DOCX.

The document will appear below:

Click the Scan Documents button.

If the scan hasn't worked, you will see this:

If your document scan fails, check it's the right format (PDF, PNG, JPG, JPEG, DOC, or DOCX.) and contact Martide Support if you're still having trouble.

If the scan is successful, you will see this:

If the scan is fully successful, go to the How to Review Your Scanned Document section below.

If the document scan is successful but the A.I. hasn't detected the document type, you will see this:

What to do if the document type has not been detected:

  • Select a type from the drop-down menu. For example, Medical Insurance.

  • Click the Rescan button so the A.I. can extract data that it knows to be relevant to a medical insurance document.

Once scanned, you will see fields relevant to that document type. Complete these.

You now need to review your document.

How to Review Your Scanned Document

Because our A.I. has extracted the data from your document, it's a good idea to review it to make sure everything looks okay.

  • Preview the document on the right side of the page. Click the four arrows in the corner to expand the document for easier viewing.

  • Review all the complete information on the left side of the page to ensure it’s correct.

  • Fill in anything that is missing.

Now, scroll down to the Insurance section on the seafarer's profile and you will see the document we just added:

Scanning Seafarer CVs and Resumes

You can also scan a seafarer's CV to make it much quicker to fill in their profile.

Still on the seafarer’s profile page, go to the Work Experience section:

Click the Scan CV button. The process is exactly the same as the one described above to scan documents. When the CV is uploaded you will see this:

If you already have some information in the seafarer's profile, the A.I. will detect it and if it's different in any way from the info extracted from the CV, you will need to:

  • Confirm whether you want to use the info that is already in the profile or use the scanned data.

  • Add any information that is missing.

  • Click Next at the bottom of the page and it will take you to Work Experience. Do the same here and click Next to go to Personal Attributes.

When you get to the end, if you've missed anything, for example, if you've forgotten to check a box to confirm whether you're using scanned or existing info, you will see this:

We have 12 problems to resolve. Go back through the CV and correct them. (A draft version has been saved, so you won't lose anything you've already done.)

When you've finished click the Save & Update Profile button. The info from the CV will be saved into the seafarer's profile:
